How does referral tracking work?

Every user has a referral code they can share. When someone signs up through it, the referral is recorded against the referrer, and it then progresses on its own as the referred candidate moves through hiring — reaching a qualified state at interview or offer, and a rewarded state when they are actually hired.

The link between referrer and referred candidate is made once at signup and does not need maintaining. Nobody has to remember to attribute a hire back to a referral three months later, which is the point at which manual schemes typically lose the thread.

When is a referral reward earned?

Credits are awarded when the referred candidate is hired, not when they apply. Reaching interview or offer stage marks the referral as qualified so the referrer can see genuine progress, but it carries no credit — the reward tracks the outcome the business actually cares about.

Paying on application invites volume without judgement, which is precisely the behaviour that makes referral schemes worse than useless. Paying on hire keeps the incentive pointed at whether the referrer would genuinely vouch for the person.

Rewards are never clawed back once earned, however the candidate's record changes afterwards. A referrer who did their part is not exposed to something outside their control.

Why do referral schemes usually stop working?

Because they go quiet. Someone refers a strong candidate, hears nothing for two months, and reasonably concludes the referral vanished. The incentive is rarely the problem — visibility is. Showing the referral advancing through qualified and rewarded states is what keeps people referring a second time.

Because the stage mapping used for referral progress is the same one the hiring analytics funnel uses, what a referrer is told cannot drift from what the recruiter sees. The two views are reading the same definition of "interviewing" and "hired" rather than two implementations that agree until someone changes one.
