How are agencies onboarded?

A company administrator adds each agency with its engagement terms, an account manager and its contract. The agency uploads its trade licence and tax numbers, and the administrator approves it, asks for clarification or rejects it with a reason. An agency sees nothing until it is approved, and suspending it removes its access at once.

Your own recruiters work as an internal team alongside the agencies, on the same requisitions. Multi-vendor management is built for in-house hiring teams and is switched on for corporate workspaces during onboarding.

How do several agencies share one requisition?

For each requisition, the hiring manager or administrator chooses the audience: everyone, the internal team, external agencies or a named list. Every agency that can see the requisition is told when its description changes, and each sees only its own candidates, never a competitor’s.

Positions released from an approved workforce plan can carry their agency audience with them, so a planned role reaches the right agencies the day it opens.

How are duplicates across agencies stopped?

Every submission is checked against all earlier ones in the same country by email, phone and identity number. The first valid submission holds the candidate for a lock-in window the company sets; a later one is refused as a duplicate, with the matching detail masked and the holder never named.

The hiring team sees which agency submitted each candidate and the person’s earlier processes, so ownership questions are answered from the record rather than from email threads.
